Why marketplace payments never match your sales
When you sell on Myntra, Flipkart, Ajio or Amazon, you do not receive the selling price. You receive what is left after the marketplace deducts its commission, fixed or closing fees, collection and payment gateway charges, shipping and reverse-shipping, returns, penalties, advertising, GST TCS and income-tax TDS. These deductions arrive in settlement reports that run in their own cycles, across many order lines, often weeks after the sale.
The result is that the total you receive in the bank does not match the sales you reported for GST, and nobody can say which orders are responsible. Small errors on a few rupees per order add up to a meaningful amount over a year. Without order-wise reconciliation, that money is simply lost.
What we reconcile, order by order
| Check | What we look for |
|---|---|
| Sale vs settlement | Each delivered order has a matching settlement line, and the amount is correct |
| Commission and fees | The rate charged matches the category and the rate card applicable on the order date |
| Shipping and weight | Shipping slab charged matches the product’s declared weight and dimensions |
| Customer returns and RTO | Returned orders are reversed, and return fees are charged only where applicable |
| Lost or damaged returns | Returns not received back, or received damaged, are identified for a claim |
| Penalties and other deductions | Each deduction has a reason, and duplicates are flagged |
| GST TCS | TCS in the settlement matches the TCS credit shown on the GST portal |
| Income-tax TDS (194-O) | TDS in the settlement matches Form 26AS / the annual information statement |
| Bank credit | Each settlement reached your bank account in full |
What you receive
- An order-wise reconciliation workbook, with every order’s sale value, deductions, settlement and difference.
- A recovery list: unpaid orders, excess deductions and claims to raise, with the order IDs and evidence each marketplace asks for.
- A summary for the month: sales, returns, total deductions by type, TCS and TDS, and net amount received.
- Order-wise profit, so you can see which products and categories actually make money after marketplace costs.
- Tally entries for sales, returns, fees, TCS and TDS, so the books agree with the marketplace and the bank. See our bookkeeping service.
Marketplaces and reports we work with
We reconcile Myntra, Flipkart, Ajio, Amazon, Meesho, Limeroad and Snapdeal from the reports you download from your seller panel: sales and returns reports, settlement or payment reports, and claim or dispute reports. Each marketplace has its own formats and settlement logic, and our in-house tools convert them into one consistent order-wise view.
If you also need GST returns prepared from the same reports, see GST for e-commerce sellers. Doing both together means your GSTR-1, your books and your bank all tell the same story.
TCS and TDS: money sellers often leave unclaimed
Marketplaces collect GST TCS under Section 52 of the CGST Act and deduct income-tax TDS under Section 194-O. Both are your money, held as credit:
- GST TCS is credited to your electronic cash ledger after the marketplace files its return and you accept the entries on the GST portal. It can be used to pay GST or refunded.
- Income-tax TDS appears in Form 26AS and is claimed in your income tax return.
If the marketplace reports a different amount, or reports it under the wrong GSTIN or PAN, the credit does not reach you. We match both every month, so the differences are raised while they can still be corrected. Our TDS compliance and GST compliance services cover the filings that follow.
Who this is for
- Sellers on two or more marketplaces whose bank credits no longer match their sales.
- Brands with high return rates, where return reversals and lost-return claims decide profit.
- Sellers who have never checked whether TCS and TDS reached their GST and income-tax records.
- Businesses whose accountant books one consolidated entry per month and cannot explain the difference.
If you are just starting out, a quarterly check is often enough. As volumes grow, monthly reconciliation pays for itself through recovered claims and corrected deductions.
How the engagement works
- Share one month’s reports from each marketplace and your bank statement.
- We reconcile and send the workbook with the recovery list and summary.
- You raise the claims from your seller account using our list, or your team does it with our help.
- Monthly from then on, with each month’s differences carried forward until they are settled.
Fees are fixed per month, based on the marketplaces and order volume, and agreed before work starts. See our pricing or contact us with a sample month for a quote.
Frequently asked questions
Which marketplaces do you reconcile?
Myntra, Flipkart, Ajio, Amazon, Meesho, Limeroad and Snapdeal. Each has its own sales, returns and settlement report formats, and we work with the reports you download from the seller panel.
What do I need to send you?
The sales and returns reports, the settlement or payment reports, and your bank statement for the same period. For deeper checks we also use the marketplace's commission rate card and the claims or dispute reports.
How is reconciliation different from GST return filing?
GST returns are prepared from the sales and returns reports. Reconciliation checks the money: whether each order was paid, whether the deductions were correct, and whether returns and claims were settled. Both use the same reports, but answer different questions.
What kind of differences do you usually find?
Orders delivered but never settled, deductions charged twice, weight or shipping slab charged higher than the product's actual dimensions, customer returns not reversed, lost or damaged returns where the claim was never raised, and TCS or TDS that does not match the government records.
Can you raise the claims with the marketplace?
We prepare the order-wise list with the evidence each marketplace asks for. The claim or ticket is raised from your seller account, or by your team with our list. Marketplaces have time limits for disputes, so regular reconciliation matters.
How often should reconciliation be done?
Monthly is best. Most marketplaces settle in cycles of a few days to a few weeks, and dispute windows are limited, so a monthly check catches problems while they can still be recovered.
Do you reconcile GST TCS and income tax TDS?
Yes. Marketplaces collect GST TCS under Section 52 (0.5% since July 2024) and deduct income-tax TDS under Section 194-O (0.1% since 1 October 2024). We match both with what appears on the GST portal and in Form 26AS, so the credit is claimed in full.
Myntra ka payment kam aaya hai, kaise pata karein kaunse order ka?
Myntra ki settlement report mein order-wise amount hota hai. Hum har order ko sales report, returns report aur bank credit se match karte hain, aur jo order short-paid ya unpaid hai uski list dete hain, saath mein deduction ka breakup.
Do you also pass the entries in Tally?
Yes. After reconciliation we prepare Tally entries for sales, returns, commission and fees, TCS and TDS, so your books match the marketplace and the bank.
What does it cost?
The fee depends on the number of marketplaces and the monthly order volume. Share a month's reports and we will quote a fixed monthly fee before starting.
